The Loft Reformer Pilates

These Terms and Conditions apply when you book, purchase or attend Reformer Pilates classes, sessions, packages, memberships or related services at The Loft Reformer Pilates.

Please read these Terms and Conditions carefully before booking. By booking or attending a class at The Loft Reformer Pilates, you agree to these Terms and Conditions.

1. Who we are

The Loft Reformer Pilates is a Reformer Pilates studio based at:

The Loft Reformer Pilates operates alongside The Fit Lab and DRIP Infrared Pilates.

2. Our services

The Loft Reformer Pilates offers Reformer Pilates classes and related services.

Classes use specialist reformer machines and may vary in style, level, intensity, pace and focus. We use Align reformer machines.

We aim to provide a safe, supportive and professional environment. However, every client is responsible for working within their own ability, listening to their body and informing us of anything relevant to their health, safety or participation.

3. Bookings

All classes must be booked in advance through our website, app or approved booking system.

Spaces are limited and are offered on a first-come, first-served basis.

Your booking is only confirmed once it has been completed through the booking system and, where applicable, payment has been received.

Please check the class type, date, time and location carefully before booking.

4. Payments

Payment is required at the time of booking unless otherwise stated.

Prices for classes, packages, memberships and offers will be shown on our website, app or booking system.

We reserve the right to update prices from time to time. Any price changes will not affect bookings that have already been confirmed.

Payments may be processed securely by third-party payment providers. We do not store full debit or credit card details ourselves.

5. Class packages and memberships

Where we offer class packages, memberships or passes, the terms of that package or membership will be shown at the time of purchase.

This may include the number of classes included, expiry date, payment amount, renewal date where applicable, cancellation terms, and any restrictions on use.

Class packages and memberships are for the named client only and cannot be transferred to another person unless we agree otherwise in writing.

Unused classes are not normally refundable unless required by law or agreed by us.

6. Cancellation by you

If you can no longer attend a class, you must cancel your booking at least 24 hours before the class start time.

Cancellations must be made through our booking system, app or by contacting us directly.

If you cancel with at least 24 hours' notice, your class credit will be returned to your account, depending on the type of booking, package or membership you hold.

If you cancel with less than 24 hours' notice, or you do not attend your booked class, the following applies: if you booked using a class package, your class credit will be lost; if you are an unlimited member, you will be charged a no-show fee of £20.

This policy is in place because spaces at The Loft Reformer Pilates are limited, and late cancellations or no-shows mean another client may not be able to attend. Where applicable, no-show fees may be charged using the payment method linked to your account or booking profile.

7. Cancellation by us

We may occasionally need to cancel, change or reschedule a class due to instructor availability, low attendance, studio maintenance, safety concerns, emergencies or circumstances outside our control.

If we cancel a class you have booked, we will offer one of the following: a replacement class, a class credit, or a refund for the cancelled class.

We are not responsible for additional costs you may incur, such as travel, parking, childcare or loss of earnings.

8. Late arrivals

Please arrive in good time before your class starts.

If you arrive late, we may not be able to allow you to join the class. This is for your safety, because Reformer Pilates requires proper setup, instruction and warm-up.

Late arrivals may be treated as a missed class and may still be charged or deducted from your package, in line with our cancellation and no-show policy.

9. Health, injuries and pregnancy

Before attending a class, you must tell us about anything that may affect your ability to take part safely. This includes injuries, pain, health conditions, pregnancy, postnatal considerations, recent surgery, medication, dizziness or fainting, mobility restrictions, and any advice from a doctor or medical professional.

If you have an injury, health condition, are pregnant, postnatal, taking medication, or unsure whether Reformer Pilates is suitable for you, please check with a doctor or medical professional before attending.

We may ask you to complete a health screening form, PAR-Q, waiver or consultation form before taking part.

We reserve the right to refuse or stop participation if we reasonably believe it would be unsafe for you to continue.

10. Reformer Pilates safety

Reformer Pilates uses specialist equipment, including springs, straps and a moving carriage.

For your safety, you must follow instructor guidance at all times, use the reformer only as instructed, ask for help if you are unsure how to use the equipment, avoid adjusting equipment unless instructed, work at a level suitable for your body, stop immediately if you feel pain, dizziness, faintness or discomfort, and tell the instructor if something does not feel right.

You must not use the reformer equipment outside of a supervised class or session unless we have given permission.

11. Grip socks

Grip socks are required for all Reformer Pilates classes for safety and hygiene.

Please bring clean grip socks to every class. If you forget them, you may be able to purchase a pair at the studio, subject to availability.

We may refuse participation if you do not have suitable grip socks.

12. Clothing and personal belongings

Please wear comfortable activewear that allows you to move safely and freely. Fitted clothing can help your instructor see your alignment and support your technique.

Please avoid clothing or jewellery that could catch on the reformer machine.

Personal belongings are brought into the studio at your own risk. We are not responsible for loss, theft or damage to personal items unless caused by our negligence.

13. Studio conduct

We ask all clients to treat instructors, staff, other clients and the studio space with respect.

You must not behave in a way that is abusive, threatening, discriminatory or disruptive, attend under the influence of alcohol or drugs, use equipment in an unsafe way, record other clients without permission, damage studio property, or ignore reasonable safety instructions.

We reserve the right to refuse entry, remove a client from class, suspend bookings or cancel a membership where behaviour is unsafe, inappropriate or disruptive.

14. Photos, videos and social media

You may take personal photos or videos in the studio only where this does not disturb others and does not include other clients without their permission.

We may occasionally take photos or videos for marketing, social media or website use. We will ask for your permission before using identifiable images or videos of you for promotional purposes.

15. Private sessions, workshops and events

If we offer private Reformer Pilates sessions, workshops, events or special sessions, additional terms may apply.

These may include different cancellation periods, payment terms, refund terms or health requirements. Any additional terms will be explained at the time of booking.

16. Refunds

Refunds are considered in line with these Terms and Conditions and your statutory rights.

We do not offer refunds for late cancellations, missed classes, unused class credits after expiry, change of mind after attending or using services, or failure to attend within the package validity period.

This does not affect your statutory rights.

If a refund is approved, it will usually be made to the original payment method.

17. Changes to our timetable, services or instructors

We may update our timetable, class types, instructors, prices or studio services from time to time.

We will try to give reasonable notice of significant changes where possible, but we cannot guarantee that any particular class, instructor, timetable slot or service will always be available.

18. Liability

We provide our services with reasonable care and skill.

Nothing in these Terms and Conditions limits or excludes our liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud, or breach of your statutory rights.

You are responsible for following safety instructions, working within your ability and telling us about any health, injury or medical concerns that may affect your participation.

19. Events outside our control

We are not responsible for failure or delay in providing services where this is caused by events outside our reasonable control.

This may include severe weather, power failure, illness, emergencies, government restrictions, building issues, safety concerns or other circumstances beyond our control.

Where possible, we will offer a suitable alternative, class credit or refund depending on the circumstances.

20. Complaints

If you have a concern or complaint, please contact us as soon as possible so we can try to resolve it.

21. Privacy

We handle personal information in accordance with our Privacy Policy, which explains what personal data we collect, how we use it, who we share it with and your rights.

22. Changes to these Terms and Conditions

We may update these Terms and Conditions from time to time.

The latest version will be published on our website. The terms that apply to your booking are the terms in place at the time you make that booking, unless a change is required by law or for safety reasons.

23. Governing law

These Terms and Conditions are governed by the laws of England and Wales.

If a dispute cannot be resolved directly, the courts of England and Wales will have jurisdiction.
